From Routine Tasks to AI Workflows: Generative AI Agents for Administrators & Executives
Administrative and operations professionals are the invisible backbone of every high-performing organisation, yet their workflows often remain just as unseen.

From consolidating updates across departments, preparing reports from fragmented data, to coordinating logistics and maintaining records across multiple systems, administrative work is often marked by repetitive tasks and constant coordination demands. While AI is commonly associated with creative or technical roles, it is increasingly powerful for operations, coordination, and support functions.

    This workshop changes that perspective.

You will learn how to design and use intelligent AI assistants that enhance your daily workflows—accelerating coordination, simplifying documentation, and freeing up time for higher-value support work. There is no hype—only practical, ready-to-use applications that reduce manual copy-paste effort, help you track information in real time, and produce clearer, more meaningful reports.

Course Requirement: Participants are required to bring an internet-enabled laptop for the course.
    Objective
Upon completing this course, you will be able to:
    • Identify recurring friction points in administrative and operational workflows
    • Build modular AI assistants to automate and speed up documentation, reporting, and updates
    • Use AI to summarise meetings, emails, and datasets into clear, structured outputs
    • Design templates and SOPs powered by tools such as M365 Copilot, NotebookLM, Google Gemini, and ChatGPT
    • Establish human review checkpoints to ensure accuracy, compliance, and appropriate tone
    Outline
Module 1: Friction Mapping for Admin & Ops Flows
    - Core workflows: reporting, tracking, coordination, records, logistics
    - Friction types: version control, follow-up fatigue, tool switching

Module 2: Prompt Structures for Admin Use Cases
    - Prompt formats for admin use: brief summaries, lists, trackers, tables
    - Input consistency: how to feed AI clean, structured context
    - Output standardization: aligning to format, tone, and review cycles

Module 3: Assistant Blueprinting for Admin Tasks

    - Assistant roles: the updater, the reporter, the formatter, the checker
    - Defining input triggers and review checkpoints

Module 4: Packaging for Routine Use

    - Creating SOPs or one-click assistant instructions
    - Formatting outputs for Microsoft Word, Excel, Teams, or shared folders
    - Trigger points: when and how to activate your assistant each week or month

Module 5: Teamwide Use & Tool Integration

    - Tool match-up: where AI can live in M365 Copilot, Google Antigravity, NotebookLM, Google Gemini
    - Version control: how to keep prompts updated and approved
    - Documentation: governance for consistent formatting, tone, and compliance

Module 6: Capstone – The Admin Transformation

    - To showcase a real admin/ops workflow that’s been redesigned and accelerated with AI support.
